Scheduling

*Academic programs are full school-year commitments (September to June), unless otherwise agreed upon. Annual program scope and specifications are revisited each spring, with subsequent school-year agreements made prior to summer break. Summer programs are separate agreements, and are offered at discounted rates for regular annual clients. 

*To maximize efficacy, it’s crucial that we agree on and abide by a consistent schedule, aligned in scope with our goals, for the full duration of our academic program or writing-editing project together.

*When pausing sessions or canceling a program, I require at least 4 weeks of advance notice. Any notification given in less time is a major inconvenience, and thus will be charged up to 4 weeks’ worth of canceled sessions.

*As for rescheduling or canceling a regular session, unless due to illness or emergency, I need a minimum of 48 hours advance notice to accommodate the change. 

*Homeschooling instruction requires a 6-month to 1-year advance agreement and deposit.

Payment Terms 

*My coaching rate is $120 per hour for regular weekly school-year programs; $135 per hour for single “Anytime Hours,” useable as needed, and offered at a reduced rate of $120 per hour upon purchase of any 5-hr block of “Anytime Hours.” These particular hours provide you with access to a teacher, reviewer, and/or editor anytime with students receiving comprehensive written feedback within 48 hours on any essay draft.

*For editing services, rates vary considerably depending on the scope and timeline of the assignment, the nature of the work, and our level of involvement. We can bill hourly or by the project, but we do require a 50% up-front deposit to begin services. Please see our freelance rate sheet, and contact us for a quote. We will respond within 24 hours to discuss your project in greater detail.

*For all coaching services, I require advance payment on a weekly, monthly, or bulk package renewal basis according to our agreement in order to maintain accountability from both parties to show up fully for our work together.

*Opt-ins & Add-ons: 

  • For $75, I will provide a 30-minute “Anytime Review” for a writing project requiring light revision feedback and/or copyedits and proofreading.

    • I charge a rush surcharge of 10-20%, pending evaluation of project scope and value delivered in set time.

  • Intersession communications beyond 10 minutes will be charged at 15-minute increments.

*I do not provide refunds, only time credits. All coaching hours must be used within the same calendar year as the program itself. For regular weekly programs, time credits accrued in a specific month must be used within that same month; they do not roll over into a new month. Single “Anytime Hours” also cannot be rolled forward. Credits accrued from a 5-hour package of “Anytime Hours” must be used within two months, activated on the date of our initial session. 

  • Rollover Exception: When you renew an “Anytime Hours” package by its 2-month deadline, I will roll over any remaining time credit into the new package (Ex: rolling a 45-minute credit over into a 4/12 renewal of a 5-hr package activated two months prior on 2/12)

  • “Anytime Hours” Bonus: If a major school break (winter, spring) comes up within our 2-month window, I will adjust your allotted timeframe forward to benefit your family.

*Upon agreement for an upcoming school-year program, clients must put down a good-faith, nonrefundable deposit of $480 by June 1 as confirmation of our commitment, and in order for me to hold your place on my coaching calendar. 

*All payment will be processed and invoiced using PayPal’s Zettle app, which accepts multiple forms of payment, including credit or debit card (MC, Visa, Amex, Discover), digital wallet (Apple Pay, Google Pay, Samsung Pay), PayPal, and QR code. Venmo is also available, but generally not preferred.

*Unless otherwise requested, I will manually charge the card you provide on file for the upcoming month’s sessions within the last three days of every month. Please let me know if you wish for me to process payment on a specific day each month or if you wish to handle payment of invoices yourself. (Late fees may apply.)

*Please add vanessa@wordinkagency.com to your Contacts List so you never miss an invoice. Regularly check your spam folder for any missing invoice links.

Communication

*I’m happy to answer any questions you may have. The quickest way to reach me is by text at 310-740-7195 between the hours of 9am-9pm. You may also call me, or email me at vanessa@wordinkagency.com. I will try to respond within 24 hours. 

*You can expect to receive prompt feedback from me after every coaching session.  

*All students may communicate with me by email and shared documents. 

*If a student is over 14 years old, and/or has express permission from their caregiver, they may communicate with me directly by text and phone in addition to email for scheduling, clarification, and quick feedback and guidance between sessions. Any communication under 10 minutes will not be billed.

*We will use Google Drive to share and collaborate on documents, as well as use the full suite of Google applications (Slides, Sheets, Docs, etc) as needed.

*As all of my coaching is done remotely, we will use Google Meet for our video calls, with each session’s unique link provided in the Google Calendar events I will share with you ahead of time.
